Summary / Primary Role
:
The position of Service Writer will have primary responsibility for providing superior customer service to both internal and external customers. This position also has responsibility for the administration of policies, procedures, training, reporting and best practices within the maintenance department for the assigned shift.

Essential Functions:

  • Monitor adherence to OSHA regulations and company safety policies within the department
  • Oversee Lead Mechanic and Mechanics on shift to ensure repair orders are completed timely, and within accordance of Company policies.
  • Address any immediate disciplinary and attendance issues that arise on the shift, report to Director of Maintenance.
  • Provide performance, behavior, attendance feedback to Director of Maintenance and participate on any performance evaluation or disciplinary conversations as needed.
  • Make recommendations for staffing changes and needs to Director of Maintenance. • Act as first-line coach and mentor to Lead Mechanic and Mechanics on the shift, assist in any conflict resolutions that may arise.
  • Identify areas for improvement in processes, procedures, policies and develop recommendations accordingly.
  • Identify new and unused resources to maximize software utilization.
  • Fix common daily issues, errors, and problems in the system.
  • Primarily responsible for managing all visitors, and incoming phone calls and providing front line customer service to internal and external customers.
  • Primarily responsible for managing roadside breakdowns and maintenance issues including towing, and approved vendors for outside service.
  • Generate purchase orders within the TMT system.
  • In collaboration with Lead Mechanic, and Parts Manager, ensure new driver equipment is thoroughly inspected and ready for distribution including outfitting with tarps, chains, binders, etc. Create and monitor in-house repair orders in TMT through completion.
  • Review all repair orders, preventative maintenance items due and consult with Lead Mechanic on allocation of work assignments for the shift.
  • Delegate work assignments to mechanics in absence of the Lead Mechanic.
  • Communicate service order statuses with driver and customer, via phone, email, text or in person.
  • Obtain and checkout parts for mechanics as needed, and in absence of Lead Mechanic.
  • Manage parts run, and utilities in absence of Utility Worker as needed.
  • Create and monitor vendor repair orders through completion.
  • With assistance from Lead Mechanic, obtain and outline shop news report of work completed, and outstanding items for the next shift.
  • Review preventative maintenance and DOT inspections list, update and distribute the schedule to all departments in absence of the Parts Manager.
  • In absence of Parts Manager, manage the new driver orientation and onboarding processes to ensure shop procedures are communicated effectively and all required documentation is provided to new drivers.
  • Participate in annual inventory by working with Accounting and Parts Manager, as needed
  • Work with managers to create and maintain forms (checklists, etc.) for department.
  • Create shipments of packages and schedule pick-ups as needed.
  • The Service Writer working the last shift scheduled for the day has responsibility for ensuring the shop closing processes are properly followed, equipment is secured, and the building is locked.
  • Participate in company training programs, safety events, company functions and meetings when requested.
  • Assist in training and development of new mechanics.
  • ALL OTHER DUTIES AND PROJECTS AS ASSIGNED.

Job Requirements

Travel requirements:
Overnight travel may be required to attend training or visit other company owned terminals.

Job Specifications:
• Bachelor's Degree in Business and/or minimum of five years' experience in similar role and environment.
• A minimum of two years of supervising and/or coaching personnel is required.
• Strong computer literacy required including Microsoft Office skills.
• Ability to read and comprehend manual, wiring diagrams, schematics, diagnostic tools, etc.
• Knowledge of Federal, State, OHSA, EPA and DOT regulations is required.
• Commercial Driver License (CDL) is preferred.
• Responsible for periodic driving duties of non-CDL commercial vehicles within the parameters of your job duties; which will further require you to maintain an active driver's license at all times. Should your driver's license status change, you are required to report the change to your supervisor immediately.

Work Environment:
This job is located indoors, and outdoors with exposure to adverse conditions such as inclement weather, dust, loud noise, heat, cold, and wind. Exposure to chemicals; moving machinery, vehicles, and equipment; fumes; gases; petroleum; products; fire and electrical hazards; and confined spaces.

While performing the duties of this job, the employee is regularly required to effectively communicate with others via email, phone and in person. The employee must to accomplish the tasks at hand. The employee must have ability to stand, walk, crouch, kneel, bend, reach, stretch, and use fingers with demanding manual dexterity for extended periods of time. Ability to lift, push and pull up to 100 pounds on occasion, 25 to 50 pounds on a regular basis. Use of personal protective equipment is required. Must be capable of reading diagnostic tools, installation manuals, and diagrams with ability to differentiate color is required.
