Job Description

The Executive Administrative Assistant’s / Office Manager’s position is responsible for the overall function and operations of an assigned office which includes the reception area, ordering and maintaining supplies and office equipment, processing invoices, maintaining financial and confidential records and other various services.  Responsibilities also include working directly with MCRT Executives by completing high-level confidential special projects, coordinating travel arrangements, setting appointments and arranging meetings, as well as, preparing, organizing and distributing materials.

Job Requirements

Essential Duties & Responsibilities

·  Responsible for organizing and expediting workflow for the Executive’s office.

· Handles special projects (some are confidential) assigned by the Executive and ensures completion timely and accurately.

·  Confidentially maintains the Executive’s calendar, appointments, travel arrangements and files.

·  Plans meetings, conferences, and other various functions and activities.

·  Prepares materials for meetings and ensures they are accurate and organized.

·   Responsible for the office day-to-day operations

·   Responsible for purchasing office supplies and maintaining office equipment.

·   Approves and processes invoices to ensure timely and accurate payment.

·   Creates and maintains contract files and legal documents pertaining to projects

·   Coordinates various employee activities.

·  Handles communication between other offices and National Offices.

·  Prepares and sends correspondence, memos and emails for the Executive.

·  Approves and processes invoices and expense reports and maintains organized records.

·   May work with budget forecasting and variances reported monthly.

·   Participates in Company-provided training such as safety, non-discrimination, information systems and harassment prevention.

·   Complies with all Company National Standards, applicable health and safety rules and regulations, as well as applicable local, state, and federal laws.

 

Education and/or Experience

·  Bachelor’s degree in Business, Management or related real estate field is preferred, but not required.

·  Minimum five years office administration and management experience supporting Senior Management is required for this position.

 

Skills/Specialized Knowledge

·   Ability to read, write, understand, and communicate in English.

·   Ability to use a personal computer and have a working knowledge of Microsoft Outlook, Word, Excel and PowerPoint.

·   Ability to use general office equipment, such as telephone, fax machine, printer, copier, and scanner.

Required Licenses

·    Notary Public preferred.

·    Valid driver’s license and automobile insurance
