PROPERTY OPERATIONS SPECIALIST

REPORTS TO: Training and Compliance Manager

JOB TYPE: Full-Time


JOB OVERVIEW


We are seeking an energetic and adaptable Property Operations Specialist to join our Cincinnati and Dayton district teams. This floating role requires expertise in Rent Manager and other property management software, along with a strong background in leasing and assistant property management duties. The ideal candidate will be highly versatile, with an upbeat attitude and a proactive approach to supporting our properties to include when the onsite manager is unavailable. Flexibility is crucial, as assignments and responsibilities may shift based on evolving business needs and operational requirements. The ability to seamlessly transition between tasks and properties while maintaining high standards of service is essential for this role.

RESPONSIBILITIES

 

  • Leasing Management: Handle all aspects of the leasing process from initial contact to move-in. Conduct property tours, process applications, and prepare lease agreements.
  • Rent Processing: Assist in processing monthly rent payments, ensuring compliance with company policies and guidelines. Accurately handle financial transactions and maintain financial records as needed.
  • Resident Onboarding and Retention: Oversee the resident move-in process and drive resident retention efforts to enhance community satisfaction and renewal rates for all assigned properties.
  • Record Keeping: Maintain detailed and up-to-date resident files and computer records using Rent Manager. Ensure all documentation is accurately filed and readily accessible.
  • Customer Service: Provide exceptional customer service to foster positive resident experiences. Address resident inquiries and resolve issues promptly to maintain high satisfaction levels.
  • Reporting: Complete and submit weekly reporting forms to the Training and Compliance Manager. Offer insights and updates on property operations and leasing activities.
  • Property Management Support: Fill in during absences and/or provide additional support on a need basis for property managers, managing all property functions efficiently and effectively. Adapt to varying property needs and maintain operational standards.

 

QUALIFICATIONS

 

  • Experience: Minimum of two years of experience in leasing or sales, with significant experience in property management. Expertise in Rent Manager or similar property management software is essential.
  • Skills: Strong organizational, communication, and decision-making skills. Detail-oriented with the ability to manage multiple tasks simultaneously.
  • Management: Proven ability to manage and lead teams as needed, including coordinating with other staff members, directing daily activities, and ensuring high performance across property operations.
  • Software Proficiency: Advanced proficiency in Rent Manager or other property management software. Proficient in Microsoft Office.
  • Adaptability: Ability to adjust actions according to different scenarios and manage time effectively. Flexibility to float between properties and take on diverse responsibilities as needed.
  • Attitude: Must have an upbeat, can-do attitude with a genuine enthusiasm for filling in for others and leasing apartments.
