Guest Services Job Description:
  • As a Guest Services Representative, you will be a key point of contact for our customers with a primary responsibility to ensure that all guests have an outstanding customer service experience. Day to day includes greeting guests, answering incoming calls, providing general information, and assisting with administrative tasks as well as reports for the dealership. Excellent communication and interpersonal skills will be essential for this role, as you will be speaking with customers both in person and on the phone.     Job Responsibilities:
    • Provide a warm, positive, and happy environment.
    • Greet customers entering the dealership and provide assistance.
    • Answer incoming phone calls and redirect to the appropriate staff members.
    • Assist customers with inquiries, service requests, and concerns.
    • Maintain the dealership's customer database and contact information.
    • Ensure the customer experience is a positive one by understanding the customer's needs and addressing them in a timely manner.
    • Communicate effectively with Guest Services Manager and Greeters.
    • Manage various logs for tracking (Ex: desk log, phone ups log, loaner agreement log, dealer plate log, and gas card log).
    • Perform opening and closing Guest Services procedures.
    • Maintain accurate records of customer service activities.
    • Reconcile/update data entry with dealership software.
    • Produce daily reports (ex: Daily Update (1, 5, Close), Performance Metric (core Guests Services reports).
    • Walk around the showroom hourly to offer refreshments to guests.
    • Provide new hire Customer Management training when requested.
    • Ensure adherence to Company policies and procedures.
    • Monitor and maintain the cleanliness of the dealership showroom and customer lounge areas.
    • Facilitate communication between customers and dealership personnel.
    • Participate in required training.
    • Record all hours worked accurately in company timekeeping system.
    • Follow Safeguards rules and regulations.
    • Demonstrate the Company's Core Values.
    • Other duties as assigned.


    Qualifications:
    • High School Diploma or equivalent.
    • Experience with telephone systems.
    • Commitment to providing exceptional customer service.
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
    • Flexibility to work rotating shifts, weekends, and holidays as needed.

    • Excellent organization and communication skills.
    • Ability to multitask and learn processes.
    • Ability to work independently and as part of a team.
    • Ability to problem solve and handle customer concerns.
    • Ability to maintain confidentiality of customer information.
