A Production Site Administrator at Bell Nursery is the administrative leader for a complex agricultural operation. The Production Site Administrator primarily manages and effectively implements the administrative duties to support a major greenhouse production facility and/or distribution unit. The Site Administrator a ssists the General Manager and other site leaders of the facility in staff capacity by coordinating office services, such as personnel, budget preparation and control, records control, and special management studies.


Tasks and Responsibilities

  • Support the General Manager, Assistant General Manager and Head Grower in achieving our company goals and objectives
  • Support the Master Data Team in managing data entry and data integrity
  • Generate weekly work order reports for the greenhouse staff – including sowing, URC, sticking and transplanting
  • Ensure all greenhouse activity transactions are entered into our ERP system in a timely fashion using both paper and electronic methods
  • Monitor the production process for quality, accuracy, efficiency and completion
  • Generate shipping paperwork
  • Calculate and evaluate production and labor metrics for speed and efficiency in all greenhouse related tasks
  • Compile data based on research techniques and on statistical compilations involving an understanding of operating programs, policies, and procedures.
  • Perform typing and transcription duties as required.
  • Establish procedures that implement operational and/or fiscal policies.
  • Independently compose reports and correspondence containing decisions that tend to establish precedents and which may commit a unit or superior to a course of action.
  • Arrange, participate in, and implement, as directed, meetings.
  • Agricultural transactions to build and reconcile SKUs
  • Coding site payables to corporate team
  • Appropriate/rapid escalation of critical issues to site leadership
  • Approve timecards for biweekly payroll
  • Assist in online shipping/boxing
  • Assist in printing cart signs for weekly shipping
  • Assist in QC of products, signs, labels, and tags for accuracy

Requirements
  • High School Diploma (or equivalent); some college experience preferred.
  • Two (2) years of clerical experience
  • Strong typing skills
  • Strong accuracy and detail orientation and ability to multitask
  • Bilingual—English and Spanish preferred
  • Ability to work a full-time schedule including some weekends and some holidays including working extra hours during our busy spring season
  • Strong interpersonal, motivating, organizational, and follow through skills.
  • Proficient in Excel and computer production software. Excel formula and Pivot Table experience preferred.
  • Strong computer skills including MS Office
