Summary of Role

The Chief Operating Officer (COO) of De Boer, Baumann & Company, PLC is responsible for ensuring effective and efficient day-to-day operations of the firm. The COO will assist with the development and implementation of strategic goals of the firm. The COO will work closely with the Managing Member and assist other Members, as needed.


Job Requirements

Administrative Functions of the Chief Operating Officer (COO)

• Develop, maintain, and enforce standard front office/processing procedures across the firm. Continually monitor for improvements.

• Maintain master client list and services performed for client.

• Develop, maintain, and enforce standard onboarding and offboarding checklists/procedures for clients.

• Oversee and assist Human Resources Manager with all functions of Human Resources.

• Ensure staff have appropriate resources and tools necessary to perform assigned duties (workstations, computers, access to programs/software, office supplies).

• Develop agendas for, and participate in, all Member meetings. Provide regular updates on status of tasks assigned and happenings at the firm.

• Prepare minutes for all Member and firm-wide meetings.

• Assist firm committees in implementing new procedures/software/tools, etc.

• Oversee administrative staff and assist, as needed.

• Ensure the upkeep of all buildings and grounds, including regular visits to all offices to visually observe conditions.

• Coordinate and facilitate all firm-wide meetings including agendas, speakers, venue, food, etc.

• Attend all firm committee meetings to provide cohesive and aligned operations.

• Continuously monitor processes and procedures to ensure they are aligned with firm strategic goals.

• Stay up-to-date on standard practices in the accounting industry to enhance productivity and efficiencies.

• Regularly review staffing needs and assist HR manager to fill gaps.

• Assist Members with monitoring operational risk. Implement solutions to mitigate risk.

• Champion the time and billing software. Provide training, report writing and other necessary information.


Financial Functions of the Chief Operating Officer (COO)

• Maintain accurate and timely accounting records for the firm and related entities.

• Monitor expenditures and provide approvals.

• Develop firm budgets and continuously monitor throughout the year. Includes capital budgets for investments in technology, facilities, and grounds.

• Produce timely financial reports and assist with preparation of tax returns.

• Ensure firm is adhering to all regulatory guidelines.

• Implement automation and efficiencies to accounting function.

• Develop and maintain centralized billing department.

• Review billing by Member and assist with setting billing goals.

• Monitor WIP and old billings.

• Create forecasts for firm revenue areas.

• Develop KPIs for firm measurement and goal settings.

• Provide suggestions for resource allocations and investments – work with DB&C Advisors, if necessary.

• Assist with potential mergers and acquisitions.


Qualifications of the Chief Operating Officer (COO)

• Bachelor’s degree in business, finance, or a related field (required).

• Master’s degree (preferred).

• Certified Public Accountant (CPA) (preferred).

• 10+ years of professional experience with at least 5+ in management.

• Demonstrated ability to lead and manage multiple departments and initiatives.

• Understanding of the public accounting industry, including its regulations and risks.
